When are we going to get started?

HubSpot or web project: In the vast majority of cases, a draft project plan has already been prepared before you agree to a potential contract. In this draft, we’ve aligned expectations regarding deadlines and dates. We finalize the project plan after the agreement is signed, but it’s very rare for it to differ from the draft.

Of course, we always strive to assist you as quickly as you’d like, while respecting your time and resources. This often depends on the scope and/or complexity of the project or agreement, but in the vast majority of cases, we get started immediately after you’ve signed, so we can deliver the respective product or solution within the desired timeframe.

Monthly service agreement/retainer: Whenever you’d like.

What happens when we sign?

Once you’ve signed, what happens next varies depending on whether you’ve signed up for a workshop, a HubSpot solution, a website project, a monthly collaboration agreement, or a combination of several (or something else entirely). In the vast majority of projects and assignments, however, the process is as follows:

1. Onboarding
The collaboration naturally begins with a thorough onboarding process for you as our client. We’ll schedule meetings and get answers to all the important questions about our collaboration and your company. You’ll also meet the team you’ll be working with (project manager + specialists).

2. Strategy & Analysis
In this step, we develop a strategy and a project plan for our collaboration. What is the objective, what do we need to achieve, and what tactics should we use to accomplish the task? We typically base the strategy on a thorough analysis, where we examine data as well as your thoughts, considerations, and input.

3. Ongoing Collaboration
With the project manager leading the way, the team works together to execute the plan developed based on the strategy. Typically, the strategy has a 6-month timeframe, and each month we meet (usually online) to review progress, go over monthly reports, and clarify the tasks for the coming month.

4. Follow-up
Every six months, we evaluate the initiatives we’ve carried out to see if we’ve achieved the set goals. Based on this, we work with you to determine whether the strategy needs to be adjusted or whether we should modify the various initiatives.

Who will we be in contact with?

In the vast majority of cases, you’ll be assigned a dedicated project manager who will serve as your point of contact and ensure that the project—or your monthly collaboration agreement—proceeds as planned and meets your expectations. The project manager ensures that the various specialists deliver what they’ve been tasked with, so you have a seamless, professional, and smooth experience with us.

However, when carrying out the various tasks, you’ll usually communicate directly with the respective specialists, so we don’t waste time on unnecessary project management. For example, if you’re having an article written, you’ll be in direct contact with our Content Specialist, and if you need to set up new Google Ads, you’ll be in direct contact with our Paid Ads Specialist.

How do you ensure that projects and tasks are delivered on time?

Your dedicated project manager ensures that the various specialists deliver what has been agreed upon. As a small team, we work closely together every single day, so you can be sure that we don’t spend unnecessary time on project management and communication regarding the tasks.

In the spirit of transparency, we also offer access to our project management tool, ClickUp, where you can track task status, deadlines, task owners, time spent, and more.

To what extent should we be involved and contribute ourselves?

We fully understand that, as an external partner, we aren’t always the top priority in your inbox or on the phone. But we still take the liberty of setting expectations for our clients, because that’s the only way we can deliver a high-quality and satisfactory solution. We need to know enough about your business to get started on the tasks.

That’s why your involvement will almost always be most critical at the start of our collaboration. After that, we’ll stay in regular contact, and with most clients, we have weekly or biweekly check-ins—or whenever necessary (whether initiated by you or us).

How do you ensure that we have a good working relationship?

To ensure a productive partnership with our clients, we follow a structured and transparent process. Here’s what you can expect:

1. Initial Consultation
We begin with a thorough initialconsultationto understand your goals, needs, and expectations. This allows us to tailor our solutions specifically to your business.

2. Clear communication
We place great emphasis on open and ongoing communication. You’ll always know what we’re working on and how the project is progressing.

3. Tailored solutions
We adapt our services to match your business’s specific needs. We work closely with you to ensure we deliver the results you want.

4. Regular Updates and Reports
We hold regular status and planning meetings and send ongoing updates and reports so you’re informed about the status and progress of your solutions. This also allows us to adjust the strategy if necessary.

5. Flexibility and Adaptability
We are flexible and ready to adapt to changes in your company’s needs or the market situation. Our goal is to build a long-term partnership that can evolve as your business grows.

What do we do if we need additional help that isn't part of the agreement?

Whether you’ve purchased a project or a monthly plan, you can always buy a prepaid card for one-off tasks. A prepaid card can be used freely across all our services and offerings—for example:

  • Consulting, strategy, and brainstorming

  • Copywriting for blogs, emails, case studies, etc.

  • Email setup

  • Website customization (WordPress or HubSpot)

  • Advertising customization

  • HubSpot support

  • Marketing automation

  • Web development

  • Design projects
Prepaid cards have no predefined expiration date, meaning you can use the hours however you like—whenever you like. We offer 10-, 20-, and 50-hour prepaid cards. Read more here.

If you need to expand your project on a more permanent basis—where a prepaid card no longer makes sense—we’d be happy to provide an additional project quote.

What happens if the collaboration doesn't work out?

A good collaboration is all about chemistry, trust, and effective communication. If, contrary to expectations, something isn’t working or you’re dissatisfied with something, we always encourage you to contact your project manager or one of our partners.

From there, we’ll propose one or more solutions and discuss with you how we can best address the challenge. After all, finding a new partner can be a time-consuming and lengthy process, so we’re naturally always happy to be accommodating and try to resolve any challenges—for both your sake and ours.

If you’re still not satisfied with our proposed solutions, you’re not tied down by onerous, long-term contracts with us—on the contrary, we have a short notice period (compared to other companies).

We have this policy because we believe that as long as we create value for our customers, we can maintain a good partnership. Should it happen that we can no longer create the desired value for you, you should, of course, be able to move on easily.

How long are we committed to an agreement?

If you enter into an agreement with us—for example, for a website project or a specific HubSpot solution—we’ll estimate the number of hours required to complete the task. If challenges or new tasks arise along the way that go beyond the agreed-upon scope of the project, we’ll of course discuss them with you. You won’t face any unpleasant surprises or unexpected bills—on the contrary, we’re committed to always staying ahead of the curve rather than falling behind, as we strongly believe in transparency.

If you enter into a monthly collaboration agreement with a fixed number of hours per month, there is generally no end date. If your needs change along the way and the number of hours needs to be adjusted—or if you wish to terminate the agreement—we have a notice period of the current month plus one month.
