What is HubSpot Operations Hub?

Chapter 1

What is HubSpot Operations Hub?

HubSpot Operations Hub is a powerful tool that helps you synchronize your data and connect your HubSpot platform with other apps, so you get valuable data and can automate internal as well as externally directed processes.

Operations Hub is part of HubSpot's platform and allows your organization to centralize your data, automate manual tasks, and gain insight into the entire customer journey. Operations Hub therefore helps you get even more out of the investment you have already made in HubSpot by eliminating manual tasks and increasing efficiency for you and your team.

Chapter 2

Which HubSpot Operations Hub-packages exist?

HubSpot Operations Hub is available in three different packages, which become more complex and require increasing investments:

Operations Hub Starter: This package includes the basic tools you need to automate and centralize your data. This includes two-way data synchronization and custom field mapping.

Operations Hub Professional: This package includes all the features from Operations Hub Starter and adds the ability to program automations and bots as well as automate data quality. This allows you to customize and automate your workflows, as well as control access to various parts of the HubSpot platform.

Operations Hub Enterprise: This package includes all the features from Operations Hub Professional and adds the ability to create and manage multiple accounts and grants access to different team members. You get expanded datasets and more reporting options. This makes it easy to manage and scale across the organization and gives you even more insights you can use to grow your business.

If you choose Operations Hub Starter, you will primarily gain access to a set of tools beyond the free features that come automatically with HubSpot CRM. If you choose Professional, you get access to additional tools, including the tools from Free and Starter. And with Enterprise, you naturally get access to all the features HubSpot can offer in Operations Hub.

It is important to note that each package has different prices and features. When choosing an Operations Hub package, you should therefore carefully consider your company's needs and budget. We delve into the three solutions below. But first, you get a (hopefully) clear overview in the table just below. There you can see what the different packages contain. Then we delve a bit deeper into the matter of the various HubSpot Operation Hub packages.

If you have questions about which parts of HubSpot meet your needs, we are happy to help you find the right HubSpot solution.

Chapter 3

What features are included in Operations Hub's package solutions?

With Operations Hub Starter, Professional, and Enterprise, you gain access to a wide range of different features. Fundamentally, the larger packages have more advanced data setups and greater opportunities to customize your platform. However, general data synchronization is included with all packages!

HubSpot is continuously updated. Therefore, it's impossible to make a complete list (while simultaneously providing an overview). We have therefore compiled the features we believe are most important for the 3 Operations Hub packages in the table below.

Chapter 4

What tools are there in Operations Hub Starter?

HubSpot Operations Hub Starter is a good choice for you if you have a small business that is still new to the data journey. The main feature of Operations Hub Starter is data synchronization. For example, if you already have data in Salesforce and are about to use HubSpot CRM and/or HubSpot Marketing Hub, Operations Hub helps to synchronize simple data and get the systems to communicate with each other.

In addition to data synchronization, you also get the option for custom field mapping, which means you can create your own data points and properties that can be synchronized with third-party applications.

Features in Operations Hub Starter

Retargeting ads

Retargeting ads allows you to use data from your website visitors to create targeted ads (on platforms like Facebook and LinkedIn) for those who have previously visited your website.

For example, if a person has visited your website but hasn't completed a conversion (such as making a purchase or filling out a form), you can use retargeting ads to display advertisements to them when they visit other websites or social media platforms.

Email health reports

Email Health Reports in HubSpot provide you with insights into how your emails are performing and help you improve their performance. The feature includes a range of standard reports that give you detailed information on how your emails are received and interacted with by recipients.

Some of the reports you can access with Email Health Reports include:

  1. E-mail Delivery: This report shows you how many of your emails have been delivered to the recipient's inbox and how many have been rejected or blocked.

  2. E-mail Open Rate: This report shows you how many of your emails have been opened by the recipient and how many times each email has been opened.

  3. E-mail Click Rate: This report shows you how many times recipients have clicked on links in your emails, and which links have received the most clicks.

  4. E-mail Unsubscribe Rate: This report shows you how many recipients have unsubscribed from your email list.

Email Health Reports can help you identify areas where you can improve your email campaigns and increase engagement with your recipients. With this information, you can tailor your emails and improve their performance over time.

Historical synchronization

Historical synchronization in HubSpot Operations Hub is a feature that allows you to synchronize data from your external sources with the HubSpot platform - including data created before the synchronization process was activated.

When you enable historical synchronization, HubSpot will analyze your external data source and pull all existing data that matches the selected criteria into the HubSpot platform. This means you can synchronize all existing data, giving you a more comprehensive and updated overview of your customers and their activities.

Historical synchronization can be useful if you need to update and synchronize your data from an external source, such as another CRM, or if you've added a new system to your tech stack. It can also be useful if you want to see a complete overview of all data relevant to a specific customer or campaign.

Historical synchronization can be a time-consuming process, depending on the amount of data you want to synchronize. Therefore, you should consider activating historical synchronization well in advance so that you can be sure to have the data you need when you need it.

Data synchronization

Data synchronization in HubSpot is about transferring data between different systems and platforms to ensure that data is updated (synchronized) and consistent across all systems. With Operations Hub, you can synchronize data between HubSpot and other external systems.

Data synchronization with HubSpot Operations Hub works by connecting HubSpot to your external systems using APIs or other forms of integration. Once synchronization is activated, you can choose which data you want to synchronize between the two systems and how often the synchronization should take place.

Examples of data that can be synchronized between HubSpot and external systems include:

  1. Contacts: Synchronizing contact information between HubSpot and another platform can help you maintain updated information about your customers across platforms.

  2. Sales Data: Synchronizing sales data between HubSpot and your ERP can help you track and manage your sales activities and customer relationships more effectively.

  3. Marketing Data: Synchronizing marketing data between HubSpot and other marketing platforms can help you monitor and measure the effectiveness of your campaigns across different channels.

Data synchronization in HubSpot Operations Hub can help you improve data quality and automate processes that would otherwise be time-consuming and manual. It can also help you achieve a more complete and updated overview of your customers and their activities, leading to more effective customer interactions and better results for your business.

Standard overview of fields

The standard overview of fields in HubSpot Operations Hub refers to the fields that are available in the HubSpot platform by default and which can be used to store and organize data about contacts, companies, and other objects in the system.

Most of these standard fields are available in all HubSpot products, including Marketing Hub, Sales Hub, and Service Hub - and Operations Hub. Some examples of standard fields available in the HubSpot platform include:

  • Name

  • Email address

  • Phone number

  • Address

  • Job title

These standard fields can be used to store and organize information about your contacts and companies, helping you maintain a more up-to-date and comprehensive database of your customers and their activities.

Tracking of email responses

Email response tracking in HubSpot Operations Hub allows you to monitor when and how your contacts respond to your emails, enabling you to follow up with them more effectively. When you use HubSpot to send emails - or have HubSpot integrated with, for example, Outlook and Gmail, you can track when the recipient opens the email, clicks on links, and performs other actions related to the email.

What tools are there in Operations Hub Professional?

HubSpot Operations Hub Professional is for you if you have a need for secure data, good reporting, and more options than those you find in Starter.

With HubSpot Operations Hub Professional, you can automate data quality, create custom reports and dashboards, automate your workflows with programmable automation, create calculated properties, and use webhooks to integrate HubSpot with other systems.

Features in Operations Hub Professional

Automation of data quality

Automation of data quality is a feature in HubSpot Operations Hub that allows you to automate the process of updating and maintaining data in your CRM system and other connected systems.

With data quality automation, you can set up automated workflows that automatically update and ensure the quality of your data. You can establish rules that monitor certain fields, such as email address or phone number, and automatically update them if they are incorrect or missing. You can also set up rules that gather data from various sources and ensure their quality, making them consistent and reliable.

Data quality automation can also help you avoid duplicated data in your system and prevent errors in your reports and analyses. By ensuring that your data is accurate and up-to-date, you can make better decisions based on reliable data.

It helps you automate processes, save time, and achieve higher data quality.

Tailored reporting

Customized reporting allows you to create tailored reports and dashboards to analyze and visualize your data in a way that's suited to your needs and requirements.

With tailored reporting in HubSpot, you can create reports and dashboards that display specific data, fields, and metrics that are important for your business and industry. You can also customize your reporting layout and add your company's branding and color scheme.

Programmable automation

HubSpot Operations Hub allows you to create programmable automation, where you tailor some of your workflows to meet your specific needs.

Calculated properties

Calculated properties allow you to create user-defined properties based on existing data. These calculated properties can be used to generate advanced and customized reports, automations, and personalization of campaigns and workflows.

Webhooks

The Webhooks API allows you to subscribe to events that occur in a HubSpot account with your integration installed. Instead of making an API call when an event occurs in a connected account, HubSpot can send an HTTP request to an endpoint you configure.

What tools are there in Operations Hub Enterprise?

HubSpot Operations Hub Enterprise is the largest package in Operations Hub. It is suitable for larger companies that need a high degree of customization, advanced data processing, and various permission types.

With HubSpot Operations Hub Enterprise, you gain access to features such as customization of datasets, advanced permissions, snowflake data sharing, and the ability to create custom objects. These features allow you to handle complex operational challenges and extract more value from your data.

Features in Operations Hub Enterprise

Advanced data calculations and prep

Calculated properties allow you to create custom equations based on numeric properties. For example, a user can create a calculated property that calculates the average value of a particular record. You can create these calculated properties by creating a custom property and then selecting "Calculation" under "Field type".

In Operations Hub Enterprise, users can use these calculated fields to generate custom datasets.

Dataset

HubSpot's datasets allow analysts and operations teams to generate collections of data within their Hub. These amounts of data can then be reused and forwarded, allowing users to build reports and ensure that their reporting is consistent with and aligned with the rest of the company.

Advanced permissions

Advanced permissions in HubSpot Operations Hub allow administrators to create more specific permissions for users. This means that administrators can grant users access to certain parts of HubSpot, while other parts remain restricted.

It is often an essential part if there are many in the company who use HubSpot but have widely different needs.

Snowflake data sharing

Snowflake data sharing is a feature in HubSpot Operations Hub Enterprise that allows for the secure sharing of large data volumes between organizations and partners. By using the Snowflake Cloud Data Platform, you can easily share your HubSpot data with others without having to move the data or grant access to the entire database.

Custom objects

Custom objects allow you to create user-defined objects that can store specific types of data. This is especially useful for businesses that need to store data not covered by the standard objects in HubSpot or if they require more advanced data processing.

Custom objects can be created by defining the fields required to store the data, and then creating an object linked to a specific record type. These objects can then be used to store data unique to the company's needs and can be integrated with other tools and features in HubSpot.

How much does HubSpot Operations Hub cost?

Are you considering if HubSpot Operations Hub should be part of your HubSpot package? Then the price probably plays a role in your decision.

First and foremost, it's important that you prioritize HubSpot and allocate hours to get off to a good start and use it correctly, so you benefit from all the opportunities HubSpot offers. Moreover, it's crucial to consider that with HubSpot's automations and data synchronization, you can save a lot of work hours that might currently be spent on manual tasks.

The prices listed below are taken from HubSpot's website, and they can change at any time.

HubSpot Operations Hub Starter: €45 per month.

HubSpot Operations Hub Professional: €720 per month.

HubSpot Operations Hub Enterprise: €2000 per month.

Chapter 9

When is HubSpot a good choice?

HubSpot is much more than just Operations Hub. In reality, Operations Hub is only a small and often invisible part of HubSpot. With HubSpot, you can also manage your sales pipeline, conduct advanced marketing automation, provide excellent customer service, and much more.

With HubSpot's other Hubs, which focus on Marketing, Sales, and Service, you can get a tailored solution that suits your company's needs. And the best part is, you can easily change your setup if your circumstances change. When you bundle multiple Hubs together, you also have a good opportunity to save money on your HubSpot package.

HubSpot has more than 100 features distributed across different Hubs and levels. When considering choosing HubSpot, it's important to ask yourself if you recognize the inbound approach. If not, HubSpot is probably not the right choice for your business.

Before choosing HubSpot, you should consider the following questions:

  • Does your company work to generate leads?
  • Does it take several weeks or months to acquire a new customer?
  • Do you have a sales department that works with leads?
  • Do you lack insight into the effectiveness of your marketing efforts?
  • Do you lack a system for managing customer information and sales activities?
  • Is the value of a customer high for your business?
  • Do you want to automate parts of your marketing and/or sales?
  • Do you wish that your service team could work from a unified platform, where there's also insight into touchpoints with marketing and sales?
  • Do you acknowledge that it requires a better and greater effort to create good and valuable customers?

If you can answer 'yes' to one or more of these questions, HubSpot is probably a good choice for you.

Why use a HubSpot partner?

To begin your journey, you can explore the possibilities of HubSpot CRM Free or the HubSpot Starter versions without any financial commitment beyond the software itself. However, you probably won't achieve optimal utilization as you'll need to set up and gain knowledge about HubSpot yourself, and the learning curve is steep.

If you instead choose HubSpot Professional, onboarding is necessary. You can either opt for HubSpot's standard onboarding or a partner like us. HubSpot's standard onboarding offers only the most essential elements and is a basic solution that keeps the cost low.

By choosing a partner, you'll receive guidance, training, and tailored support for your specific needs and business. HubSpot also recommends using a national partner to get the most out of HubSpot from the beginning.

If you need an Enterprise solution, it requires an Enterprise-certified partner like us. The requirements here are significant, as the solution is often extensive and requires in-depth knowledge of HubSpot.

We can also assist with the design and setup of your website in HubSpot CMS, as well as content creation and campaign development. We offer solutions that cater to all levels within HubSpot.

You can read more about us as a HubSpot Partner here.
